Inventory Management

Inventory management is the tracking of jewellery stock across finished products, loose stones and components, often over multiple locations.

Inventory management is how a jeweller keeps an accurate, up to date picture of everything it holds: finished pieces on display, loose diamonds and gemstones in the safe, and the metals, findings and components used to make and repair jewellery. Done properly it prevents both overstock and stockouts, and it protects high value goods that are easy to lose track of.

Why jewellery stock is not a simple count

A hardware shop can often count boxes and be done. Jewellery cannot, because each item type carries its own information. A finished ring has a design, metal, purity and size; a loose diamond has carat, shape, colour and clarity; a metal has weight and purity; a finding has its own part detail.

Treating all of that as a single plain number loses what matters. Proper jewellery inventory holds the right fields for each item type, so a stone is tracked by its 4Cs and a metal by its weight, not squeezed into one generic count.

Serialised and high value stock

Much jewellery stock is high value and often unique, so many pieces are serialised, tracked as individual items with their own record rather than as interchangeable units. That lets a business know exactly which stone or piece is where, and prove it during audits and stock takes.

Loose stones add another layer, since they can be added to made to order pieces, moved between locations, or returned to the parcel. Inventory has to follow them through those movements without losing the trail.

Tying inventory to selling and making

Inventory does not sit alone. It connects to the catalogue, so a sold variant reduces stock; to the bill of materials, so making a piece consumes the right metal, stones and findings; and to pricing, so metal on hand is valued at current rates.

For a business with more than one store, inventory also has to span branches, showing head office the whole picture while each location sees and manages its own stock. That is where inventory management meets multi-branch operation.

Key points
  • Tracks finished pieces, loose stones, metals and components
  • Each item type needs its own fields, such as carat or purity
  • High value and unique pieces are often serialised individually
  • Inventory links to the catalogue, the BOM and pricing
  • It must span multiple branches for a growing business
FAQ

Inventory Management, in short.

Why can't jewellery use a simple stock count?

Because each item carries distinct information. A diamond is defined by its 4Cs and a metal by weight and purity, so a single generic number throws away the detail a jeweller needs to value and manage stock.

What does serialised inventory mean?

It means tracking a piece or stone as an individual item with its own record and identifier, rather than as one of many identical units. This suits high value and unique jewellery.

How does inventory connect to production?

Through the bill of materials. When a piece is made, its BOM tells inventory which metal, stones and findings were consumed, so stock levels stay accurate as work happens.

Can inventory be managed across several stores?

Yes. Multi-branch inventory shows each location its own stock while giving head office a consolidated view, so stock can be found, moved and reconciled across the whole business.
